Payment and Refunds Payment for individual counselling sessions is due at the conclusion of each session. While many of our services may be covered by private health insurance or the Employee Assistant Program (EAP) at your workplace, we do not bill insurance companies directly, making you responsible for confirming the extent and limits of your coverage and making the necessary claims. We will make all reasonable efforts to provide you with receipts and other information requested by your insurance company in order to expedite the payment of claims. Payment for group counselling programs is due in two equal payments - one payment is due at the start of the program and a second is due at the halfway point. Once a program has started, there will be no refunds or adjustments for missed sessions. Those arriving more than 10 minutes late for a group session will not be admitted. For assessments, payment equal to 20% of the total is due at each session (up to a maximum of 100%, of course). Any outstanding balance is due at or before the time the final report is delivered. If an assessment is cancelled at any time, no further payments are due but neither will any refunds be made. Either cash or check is acceptable for payments made in person at the time of the appointment. If you wish to pay with a credit or debit card, this can only be done online and in advance through PayPal. Instructions for doing so will be provided following your initial consultation or after registration for a group program. E-mail reminders for future appointments will include a convenient link for making the appropriate PayPal transaction. On-line payments for appointments should be completed no later than one business day prior to the appointment. NSF checks will be charged a processing fee of $25 in addition to any charges imposed by the financial institutions involved. Reminders, Cancellations and Rescheduling We are unable to provide telephone confirmation of upcoming appointments. If desired, an automated e-mail reminder for upcoming appointments can be sent one or two days prior to the appointment. These reminders are provided as a courtesy only; failure of the e-mail reminder system is not a valid reason for missing an appointment. Please also note that the reminders may not be sent in time to avoid charges for cancellation or rescheduling as described below. Due to the length of our appointments, scheduling is much more complicated for us than it is for doctors or dentists and as a result, it is very important that all scheduled appointments are kept. Except in extreme cases, charges will be assessed if counselling or assessment appointments are missed or inadequate notice of rescheduling or cancellation is provided. If you wish to withdraw from a group session, we ask that you do so at least 7 calendar days prior to the first session, but there is no charge for late cancellation. Those arriving more than 10 minutes late for a group session will not be admitted and no refund will be made.
